End of Year Move Out: Spring 2026

All residence halls (first-year, transfer, and upper-level) will CLOSE at the date and time posted above. Students are expected to check out of their housing assignment with a Housing Staff Member within 24-hours of their last final exam, or before the date and time posted above, whichever occurs first.

Summer Break Check Out Process:
Please review and follow these steps carefully in order to avoid any improper check out billing, damage billing, or other issues.
- Make a move out plan with your parents/guardians/any other folks helping you move.
- You must move/check out of your housing assignment within 24-hours of your last final exam or by the hall closing date/time. Whichever occurs first.
- View the Spring 2026 Final exam Schedule.
All residence halls CLOSE on Friday, May 15th at 6 p.m. Your FOB will turn off at that time.
- Schedule a Check Out Appointment with an RA in your residence hall.
- Your residence hall staff will announce when you can start reserving appointments and how.
Before Your Check Out Appointment:
- Clean your housing assignment.
- One-Room Housing Assignments: Sweep and mop floors, empty all drawers/closets, wipe down surfaces, remove all trash and recycling.
- Suites and Apartments: Everyone living in the housing assignment is responsible for the condition the space is left in regardless of who leaves first. It is encouraged that the suite/apartment be cleaned before anyone moves out and then maintained as each roommate leaves. This is to avoid leaving a mess for the last person moving out.
- Kitchen: Clean out the refrigerator, cabinets, oven, and pantry completely by removing all contents and wipe clean the interiors, sweep and mop the floor.
- Commode: Remove all personal belongings, clean the toilet, sweep and mop the floor.
- Shower Room: Remove all personal belongings (including the shower curtain), clean shower stall, sweep and mop the floor.
- Living Room: Remove all personal belongings, clean end tables and coffee tables, sweep/mop tile floor or vacuum carpeted floor.
- Bedroom: Remove all personal belongings, empty all drawers/closets, wipe down surfaces, sweep/mop tile floor or vacuum carpeted floor, remove all trash and recycling.
- All Housing Assignments: Failure to clean properly will result in an Excessive Cleaning Fee of at least $25.
- Pack and remove all personal belongings from your housing assignment.
- Don’t forget to check all cabinets, closets, drawers, under/behind furniture etc.
- There is no on-campus storage of personal belongings. Items left behind are removed by staff to be thrown away or donated, and nothing is kept to be picked up at a later time.
- Residents will be charged $25 per item left behind and removed by staff.
- Take all trash and recycling out to the dumpsters.
- Do not leave any trash in any stairwell, lounge, laundry room, community bathroom, hallway, elevator, lobby, sidewalk, outdoor trashcan or anywhere else but the dumpster.
- Leaving trash anywhere else but the dumpster will trigger building-wide damage billing that cannot be appealed. Make the effort, bring the trash/recycling out to the dumpster.
- Trash left for staff to remove will result in a $25 damage bill per bag removed.
- Close and lock your windows, leave the blinds wide open.
At Your Check Out Appointment:
- Meet with the RA you’ve scheduled an appointment with.
If you’ve signed up for a check out appointment, please manage your check out tasks and your time to keep your appointment. If you are late for your appointment or miss your appointment all together, you will need to schedule a new one for when the RA is available.
- The RA will inspect your room to make sure you have removed your belongings and trash before you leave.
- You will need to be present for this part so that if you have anything you need to resolve before you leave you may.
- The RA is not responsible for opening drawers, cabinets, or closets or for “finding” anything you’ve forgotten to do. They are there to do a quick scan of the space to make sure there isn't’t anything obvious.
- The RA is not responsible for clearing you of the possibility of any damage billing. Even if an RA tells you “You’re good to go” or anything of the same sentiment, it does not guarantee you won’t be billed for damages later found by the Hall Director.
- Return your housing keys.
- During your check out, it is the student's responsibility to ensure that their housing keys or housing fob are collected by staff.
- Lost keys or keys not returned during check-out will be billed for over the summer.
- Do NOT turn in your main fob – keep this to be reprogrammed for your housing assignment next year.
Damage Billing
Damage billing is NOT determined by any student staff member including Resident Assistants. Even if an RA says “you’re good to go” or anything of a similar sentiment during check out, it does NOT mean that damage billing is not a possibility. Damage billing is determined after all students have moved out and after the Professional Staff Member (ie. a Hall Director) inspects the completely vacant space and each item within it. If the condition of an item is considerably worse from when the student moved in (beyond normal wear and tear) the student is subject to damage billing to restore the damage done. All residential students can view their Room Condition Reports in the MyHousing Portal and any issues or changes to the condition of an item will be noted on their Move Out Room Condition Report (done by the RA checking them out) and their Hall Director Inspection (done by the Professional Staff member, after everyone has moved out.
After damage billing has been processed, the affected students will receive notification via Eastern email. Students will be able to appeal bedroom/individual room damages within 15 days of the damage bill being sent to the student. Common area damages cannot be appealed.

Improper Check Out
You moved out without checking out with an RA OR you did not complete your move out before all fobs turn off for closing.

Key Replacement
You did not turn in your key before checking out, and a new key had to be ordered. Billing for this will occur even if you mail in your key afterwards.

At least $100 to replace the lock and update the keys needed for next occupant(s).

Trash or Recycling Removal Whether trash is left in a common/shared area or an individual’s room, if staff have to remove it, a charge will be the result.

Personal Item Removal Any personal item left behind will be either thrown away or donated. There is no personal item storage on campus.

Excessive Cleaning Fee Housekeeping will be turning over each space, but if it’s obvious that the space was not taken care of over the past year, a charge will be the result.

Paint/Wall Damage Typically caused by prohibited Command Strip, LED Strip Lights, or any other adhesive the student used on the walls.
